Clinic Information – Inclusion Wellness WNY

Inclusion Wellness WNY is a private pay mobile massage therapy practice specializing in therapeutic massage and stretching for children and adults with autism, mental, and physical disabilities. As a solo practice, all services are provided on-location, whether in-home or within group home settings, to ensure comfort and accessibility.

Important Booking Information:

  • All new clients must complete a mandatory in-person consultation at the location where services will be provided before booking.
  • Monthly appointment spots are limited and available on a first-come, first-served basis due to being a solo practice. A waitlist may be implemented if demand is high.
  • Services are customized based on individual needs, with adaptive positioning options including a massage table, floor mat, medical bed, recliner, or wheelchair.

Cancellation & Refund Policy

At Inclusion Wellness WNY, time is reserved specifically for each client to ensure a personalized and quality experience. As a solo practice, appointment availability is limited. All services are prepaid, and there are no refunds.

  • Cancellations & Rescheduling: Any cancellations within 24 hours of the scheduled session will result in the loss of the session. If there is a waitlist and the appointment slot can be filled, the payment may be applied to a future appointment. Otherwise, the session is forfeited.
    • If the cancellation occurs before the 24-hour late cancellation period, one reschedule is allowed.
  • No-Shows (Mobile Policy): If I arrive at the client’s location and they are unavailable or unresponsive, the session is forfeited, and no reschedule will be offered.
  • Late Start Due to Client Delay: Services must commence at the scheduled time to ensure I stay on track with my schedule. Some services require loading, unloading, and setup of a massage table and supplies, and it is critical that I stay on task to maintain on-time arrivals for all clients. If a session starts late due to the fault of the client, the session will still end at the originally scheduled time, and the full service fee will apply.
  • No Refunds: All payments are non-refundable. If a session needs to be rescheduled within the required notice period, the payment may be applied to a future appointment if availability allows.

 Inclement Weather Policy

At Inclusion Wellness WNY, safety is my top priority. Living in an area where weather conditions can vary drastically from place to place and change at any given time, I closely monitor the weather forecast, especially during the winter months, to determine if travel is safe for scheduled appointments.

  • If inclement weather poses a safety risk for travel, I will cancel and reschedule affected appointments.
  • No refunds will be issued for weather-related cancellations, but the session will be rescheduled at the earliest available time.
  • If upon arrival, I cannot safely access entry into the home or facility due to snow or ice, the appointment will be canceled with no refund. Driveways and pathways must be cleared and salted to ensure safe access.

Prioritizing Safety & Well-Being

My safety and well-being are my top priorities. As a self-employed solo practitioner, I must always keep my health, security, and ability to work in mind. Unlike traditional employment, if I am unable to work due to injury or illness, that directly affects my ability to provide care and continue earning an income. Because of this, I take extra precautions to ensure safe travel conditions, secure environments, and proper accessibility at every appointment.

Clients are expected to do their part by:

  • Ensuring clear and accessible entryways (including shoveling/salting in the winter).
  • Maintaining a safe and respectful environment during appointments.
  • Understanding that I reserve the right to decline or cancel services if my safety is at risk.

Sick Policy

  • If I become sick or injured and am unable to work, all impacted appointments will be rescheduled as soon as possible.
  • If a client is sick or showing symptoms of illness, they must reschedule their appointment in advance. Sessions cannot take place if a client is experiencing fever, vomiting, severe coughing, flu-like symptoms, or any contagious illness.
  • Group Homes & Facility Policy – If there is an outbreak of any kind within a facility (among staff, housemates, residents, or patients), appointments will be canceled and rescheduled once it is safe to return.
  • No refunds will be issued for illness-related cancellations, but sessions will be rescheduled accordingly.

Providing quality care starts with maintaining a safe and healthy environment for both myself and my clients so that I can continue offering the best services possible.
